Registration (including Terms and Conditions)

Please register for Europic 2010 using our online booking form after you have read the following registration details.

Registration and abstract deadlines

  • Abstract submission opens early May (registrants will receive email announcement)
  • Registration is now closed - for late registration please contact us directly (david@europic2010.org)
  • Abstract submission closes 31st July 2010

Registration costs

  • Full registration - £1110
  • Full student registration - £910
  • Accompanying person registration - £710

Full registration includes conference attendance, full board accommodation in New Hall (single room), the welcome reception on the Saturday evening, the wine reception at the poster sessions and the conference banquet.

Student registration includes conference attendance, full board accommodation in New Hall (single room), the welcome reception on the Saturday evening, the wine reception at the poster sessions and the conference banquet. Student registration is for pre-doctoral delegates only.

Accompanying person registration includes full board (in a shared room with a full registrant), the social programme and the conference banquet, but excludes all scientific sessions.

Earlybird registration

'Earlybird' registration has now closed. If you have registered at these preferential rates please ensure that full payment is completed before the 31st of May 2010.

Payments

We accept registration payment by cheque (drawn on a sterling bank account) or by direct bank transfer (BACS). We regret that credit card payments cannot be accepted. Full payment details will be sent with the email confirmation when you register. Payment must be received by the dates indicated above.

If paying by bank transfer from a non-sterling account please make sure you pay any bank charges that may be levied for the transfer or currency exchange. The full conference fee must be received.

The invoicing, payment receipts and confirmations are being handled by MSG-Marketing & Events. Any queries on these aspects of registration should be sent directly to Amanda Macchi (+44 333 123 0155.

We can invoice you if you need this to initiate payment from your institute. Indicate the relevant payment method and check the invoice box and we will send you an invoice.

The registration process

Please complete the online registration form. If you pre-registered for the meeting the form will be partially completed (name and email). Please check these and the other fields carefully. Your badge will display your forename, surname, affiliation and country. Badges for full, student and accompanying persons will be colour-coded.

Please indicate any dietary or special instructions in the fields provided. If you are an accompanying person, please indicate the name of the person who you are accompanying under 'special requirements'.

Finally, to help us plan airport transfer and shuttle buses, please indicate how you are likely to travel to the conference - we will contact you nearer the conference to finalise these travel details.

What to expect after registration ...

We will acknowledge registration with an email receipt containing your registered details. We need to know that you received the email to confirm that your email address is valid. The email will contain a link which you should select, this will verify you have received the email and will display the personal details (name, address etc.) registered on our database. Every registrant will receive a unique five digit registration number - please quote this in any correspondence you send us. You will need to be registered to submit an abstract. When abstract registration opens we will send you an email inviting you to submit an abstract.

Cancellation policy

Registration cancellation requests must be made in writing and received by email (to cancel@europic2010.org). All refunds will be subject to a £75 handling charge and will be paid by cheque or direct bank transfer in (GBP) sterling. Currency conversion will be the responsibility of the recipient of the refund. The amount refunded will depend upon when the cancellation request is received:

  • Before 11th. June - full refund less £75 handling charge
  • Before 11th. July but after the 11th. June - 75% refund
  • Before 11th. August but after the 11th. July - 50% refund
  • We regret that no refund can be given for cancellations received after the 11th. August. Persons who register but cannot attend may send a substitute which will incur a £75 handling charge

Insurance

We have public liability insurance for the event and the venue. All registrants are strongly recommended to take out travel insurance to cover their costs of attending the meeting.
